The Keys is a chain of three restaurants and nightclubs in the North East of England. Their new Darlington location opened in November 2014 in a grade II listed building after an extensive £1.6m refurbishment. They pride themselves on offering seasonal menus and daily specials suitable for every taste.

With the restaurant serving breakfast from 9am and the nightclub not closing until 3am the following morning, it was important that The Keys had a system they could rely on and that was able to keep up with their fast paced business. Paul Roundtree (The Keys’ Operations Manager) was keen to invest in the Epos Now Premium Support Plan, which provides them with 24/7 support and ensures swift diagnosis and issue resolution around the clock.

Epos Now’s stock control facility was vital for Paul. The Keys choose to receive low stock notifications when they are running low on items and the system also makes it possible to automatically re-order from suppliers. Additionally, it was essential for The Keys that their system was customisable. Buttons can be positioned and colour-coded and the table plan can be customised with ease making sure orders are assigned to the correct tables and customer bookings can be managed effectively.



The versatile Epos Now system allows efficient and effective table service to be carried out in the restaurant during the day and ensures that quick transactions occur in the nightclub until the early hours of the morning. The Keys use tablets to take customer orders in the restaurant and this allows the order to be sent straight through to the kitchen printer, resulting in staff being able to spend more time with customers. The ease of different staff members being able to log in and out makes sales transactions in the busy restaurant, bar or nightclub extremely quick and efficient and makes it possible for individual staff performance to be tracked.

The Keys was already established in two existing locations in Middleborough and Yarm and they were experienced with using EPoS systems. There are already thirty alternative systems spread across The Keys’ locations but with Epos Now they will be able to use the cloud software on existing hardware, which results in a much lower cost to use Epos Now in all of The Keys’ locations. Paul Roundtree is incredibly eager to make the switch to Epos Now across all of The Keys’ sites as it has been so successful in the Darlington site.

Paul believes some of the reasons for this success is that the Epos Now cloud software has allowed him to run the software on existing hardware, which has saved The Keys money and also means data is accessible from existing sites, which has made it extremely easy for all managers to access information when they are on the go. He has also found it really simple to add offers, discounts and promotions on to the tills at the Keys, which eliminates any mistakes and saves time. Additionally, The Keys recently invested in Epos Now’s loyalty module, which will allow them to reward regular customers with redeemable points for every purchase, which will help them to encourage return business and boost sales.
